Hints and tips for using Teamware Office
 

Have you sometimes wished someone else could modify an appointment you created? The need for this may occur, for example, while you are on holiday or on a business trip. It is in fact possible. You can give selected users permission to modify appointments created by you. Follow these steps:
  • Open Teamware Office Calendar client and select Modify on the Calendar menu.
  • Flip to Permissions tab in the Modify Calendar dialog.
  • Select Special permission… option on the Permissions drop down list. (It is the last item on the list.)
  • Search for the users to whom you would like to give the permission.
  • With the Permission Properties dialog open, select the following options:
    • See subject (B)
    • See message text (M)
    • Modify appointments created by me (L) (This option will be activated only after checking the above mentioned two options.)
  • Click OK button to confirm the selection and close the dialog.
  • The selected users are now displayed on the Permissions list with the defined special permission.
  • Click OK to confirm and close the Modify Calendar dialog.

Do you find it cumbersome to select frequently used commands from the menus? Would you like to have faster, easier access to the functions you most often use? This can be achieved by configuring the toolbar of Teamware Office clients. You can add buttons, order and group them. The Configure Toolbar dialog also offers a number of other options to personalize the toolbar. The dialog is opened by selecting Configure Toolbar on the Options menu.

Find the command on the Choose action list and the default button for the action is highlighted on the Choose button list, or select the button and you are shown the default command. Note that you can change these default associations by selecting a different action for a button or vice versa.

Drag and drop the button you want to the copy of the current toolbar shown in the Configure Toolbar dialog. If you now wish you can add empty space around the button by dragging and dropping space elements from the yellow arrow symbol shown below the wastebasket icon. If you wish to remove a button or space from the toolbar drag and drop them to the wastebasket.

Once you are happy with the toolbar configuration you created, click OK and the new toolbar is updated in the client window.

Now you have your favorite commands easily available to you on the toolbar.

Managing mail messages can be a bother with the increasing amount of electronic correspondence many of us have nowadays. Messages often contain demands for action, for example, there is a request to complete a task or to provide information that you need to find out first before being able to send it in a reply. Teamware Office Mail contains a feature called Annotation that helps you remember and manage messages that contain demands for action. Annotate a message with a short text describing what you need to do and add the annotation column to the mailbox list and you have a visible cue to remember what you need to do right in your mail client. There is no need to create separate task items in To do applications. Naturally annotations can be used for other purposes to classify messages as well, if that suits your needs better.

To add the annotation column to the mailbox list, click Set Columns command on the View menu. Select Annotation from the Available columns list and move it to the Selected columns list. Set the columns in the order you wish and click OK. The Annotation column is added to the list and shows the beginning of your annotations for all those messages to which you added an annotation. Note also that you can add Annotation button to your toolbar by following the instructions on configuring toolbar.

Another useful message organizing feature is marking the messages. You can use the green tick mark to indicate messages that are important to you. Just like annotations you can add a column for these marks on the message list and you get an easily discernible visual cue for the marked messages. What is more, you can use the mark – and the annotations – as criteria for message searched. The criteria are found in the Advanced search dialog opened with Advanced… button in the message search dialog. Thus marks and annotations can help you find messages more efficiently even long after you have received or sent the message.
